*Administrative Assistant * *SUMMARY DESCRIPTION* The Administrative Assistant assists with business development, sales, marketing, operations, and strategic planning.
This is a full-time hourly position, reporting to the Executive Director.
*ESSENTIAL DUTIES & RESPONSIBILITIES * * Assist with client correspondence, including in-person meetings, phone calls, and emails.
* Prepare estimates and contracts for Fox promotions, co-promotions, and rentals with the direction of the Executive Director.
* Build strong relationships with promoters, as well as with local collaborative partners and national and international presenting agents and organizations.
* Maintain event booking calendar, place promoter holds, confirmed dates, and released holds while monitoring traffic and genres.
* Schedule all Etix event ticket reports as requested by each client.
* Coordinates board functions as needed, including, but not limited to, scheduling board meetings and preparing meeting minutes, board packets, and fundraising letters.
* As needed, assist the marketing coordinator with social media posts and other marketing tasks.
* Research grant opportunities and track grant deadlines.
* Cross-train for an event and box-office duties as needed.
*EDUCATION AND EXPERIENCE GUIDELINES * _Any combination of education and experience that provides the required knowledge and abilities qualifies.
A typical way to obtain the knowledge and skills would be: _ *Education/Training:* Associate degree or higher (preferred) in marketing, communications, public relations, or related field.
*Experience: *Minimum three years experience in marketing, communications, public relations, or related.
Experience working in theater, fine arts, or other non-profit programs is a plus.
