*JOB SUMMARY:* Collection of preliminary data and job requirements from CSR’s for the purpose of creating a costing analysis and projection spreadsheet for quotes and bids.
This includes creating a costing plan that identifies actual costs, mark up, and projected profitability related to vehicle milage, labor, materials, and return of investment on rental equipment.
Completes follow up and after- action reports to confirm efficiency and that profitability margins were achieved.
Performs independently, exercising good judgment and initiative.
*DUTIES AND RESPONSIBILITIES:* * Familiarity with company products and services: To include capabilities and specifications of each item of rental equipment, special considerations for the use of the equipment, and site requirements necessary for the placement and operation of the rental products.
* Works closely with CSR’s and management from all offices in order to collect preliminary data and job requirements on projects requiring quotes and bids.
* Works with the Operations Supervisor and Operations Manager to confirm vehicle and equipment requirements for delivery and removal of materials and rental equipment and the manpower requirements related to loading, unloading, drive time, installation, removal, and the additional services needed in order to accomplish the specified job activity.
* Prepares a costing analysis that includes project descriptions, load plans, vehicle costs, labor, cost of materials, miscellaneous charges, and return of investment on rental equipment.
* Calculates projected profitability on projects in accordance with company guidelines for gross profit and net profit.
* Completes after-action reports on projects based on actual data from operations.
* Analyzes data from after action reports in order to make determinations on efficiency of operations and that profitability margins were achieved.
Completes reports on findings.
* Makes recommendations for improving efficiency of operations and profitability: especially as it relates to changes to costing formulas regarding mileage calculations, labor estimates for the various components of the project (including estimates for prep time, drive time, installation and recovery time, etc.
), and miscellaneous charges (costs of products, dump fees, environmental fees, etc.
).
* Promotes available company services and products.
* Promote clean and safe working conditions.
* Attend training/meetings as directed and assigned by management.
* Process all job related paperwork legibly and in accordance with instructions.
* Sorts and files records.
* Understand and comply with all company policies/procedures, including but not limited to; dress code, safety, punctuality, etc.
* *Other duties and responsibilities that may be added or assigned by management.
* When not engaged in costing or after-action reports: * Assists management in analyzing routes for efficiency, proper route assignment, and profitability.
Including: * Distant accounts.
* Special services.
* Accuracy and completeness of information on trip sheets, delivery and recovery paperwork, GPS’s reports, and pre-trip inspections.
* Makes recommendations for improving efficiency on routes, changes in route assignment, rate increases or changes to improve profitability, or cancellations of service due to a lack of profitability Assist CSR’s with work as defined within their job description: * Compiles data, compute fees and charges, and prepare invoices for billing purposes.
Interact with customers to provide information in response to inquiries about products and services.
* Resolve customers’ invoice by determine possible causes such as adjustments.
* Keep records of customer interactions and transactions, recording details of inquiries, complaints, and comments.
* Places outbound collection calls in attempts to resolve invoice delinquency problems.
* Ensures accounts delinquent status remain within or below company’s expectation of receivables.
* Locate and correct data entry errors, or report them to supervisor.
o Store completed documents in appropriate location.
* Check to ensure that appropriate changes were made to invoices to resolve delinquency.
* Determine charges for services requested.
* Interact with customers to provide information in response to inquiries * Administers support by conducting research, prepare reports.
* Responds and resolves customer complaints pertaining to invoices.
* Promotes available company services and products.
* Promote clean and safe working conditions.
* Attend training/meetings as directed and assigned by management.
* Process all job related paperwork legibly and in accordance with instructions.
* Data entry; information, bills, receipts, reports and or other documents.
* Sorts and files records.
* Addresses and stuffs envelopes, answers telephones, convey messages, photocopies documents and faxes to proper locations/departments.
* Gather material information to be filed from departments and employees.
* Understand and comply with all company policies/procedures, including but not limited to; dress code, safety, punctuality, etc.
* *Other duties and responsibilities that may be added or assigned by management.
* * *Ensure profitability of company services and products; assist in the development of a marketing plan with operation procedures for the department.
* *ESSENTIAL FUNCTIONS:* * Performs general work duties as directed.
* Good interpersonal and analytical skills.
* Ability to maintain effective communication with other employees.
* Promote and applies principles and methods for showing, and selling products and services.
* Applies sound marketing strategies and tactics, product demonstration, sales techniques.
* Applies principles and processes for providing customer quality standards for services, and evaluation of customer satisfaction.
* Applies positive time management to ensure customer needs are met.
* Work any assigned shifts as required.
*EDUCATION:* * High school or GED required administration or related field OR any combination of education and experience demonstrating the required skill and knowledge for successful performance of assigned duties.
*CERTIFICATES, LICENSES, REGISTRATIONS:* * Ability to obtain and renew any certificates, licenses, registrations required by law or management for the position.
*SKILLS REQUIRED:* * Giving full attention to detail.
* Be physically able to operate all modern office equipment.
Proficient in MS Word, Excel, and Access.
* Knowledge of principles and processes of providing high quality customer service.
* Knowledge of administrative and clerical procedures and systems, mathematics, managing files, and records.
