OVERVIEW:
The position of the Visalia Service Center Social Services Aide is responsible for providing administrative and clerical suppori for the Visalia Service Center and oversees the social services duties in this location, as well as providing occasional assistance in Tulare Corps (seasonal).
This individual will be directly responsible to the Tulare Corps Officers in charge of Visalia Service Center.
DUTIES AND RESPONSIBILITIES:
Be responsible to open and close office buildings.
Answer phone during office hour shifts at both locations
Open mail, sori and answer routine correspondence
Assist in the preparation of letters, emails, and other forms of correspondence with donors, community members, employees, and other individuals
Prepare requisitions for supplies, floral arrangements, and detrimental repairs as needed.
Prepare all bills for payment, including coding them and sending them to Divisional Headqumiers (DHQ)at least twice each month.
Create back-ups of all bills.
Verify, allocate, and post details of business transactions to accounts in journals or computer printouts generated by DHQ.
Create back-ups of all transactions.
Assist Corps Officers with bank deposits on a weekly basis and maintain records of the deposits
Prepare and send Direct Mail batches to CDS weekly.
Create flyers as necessary for distribution to the Corps and social service programs
Conduct intake for all applications for the social services office.
Maintain a file with the applications and enter them into the social service database.
Provide vouchers for assistance and keep records of vouchers.
Recruit, train, and motivate volunteers for committee participation
Keep records of Community Service volunteers and their hours
Organize and distribute food boxes and commodities
Maintain monthly inventory of all donations received and distributed to the public
Assist Corps Officer with the preparation of United Way reports and any other reports requested by other agencies
Assist Corps Officer
Assist in special projects and fundraising efforts in the community
Coordinate programs for Visalia Service Center
Other related duties as required
EDUCATION AND EXPERIENCE:
High school diploma or equivalent
Must be at least 21 years old
CA Driver's License (Required)
SKILLS AND ABILITIES:
Ability to coordinate and manage multiple duties in a business office
Ability to prioritize work and multi-task simultaneous projects
Have a comprehensive proficiency in Windows
Ability to communicate effectively and accurately
Bilingual in Spanish (Preferred)
EQUIPMENT USED:
Modern Office Equipment and Relevant Software
PHYSICAL REQUIREMENTS:
Ability to lift up to 25 lbs.
