Description of Primary Responsibilities
Responsible for performing the accounts payable (AP) function.
Reviews submitted invoices, expense reports, and check requests for proper approvals and required documentation.
Ensures proper coding of expenses to general ledger accounts, departments, and sites.
Enters all AP transactions into the accounts payable module of the accounting system.
Monitors vendor terms and potential payment discount opportunities.
Matches invoices to purchase orders and packing slips (when necessary).
Processes AP batches for payment and acquires proper signatures for disbursement.
Researches payment discrepancies, vendor inquiries, credit memos, etc.
Responsible for maintaining accounts payable records and reports.
Maintains and prepares various accounts payable reports.
Maintains historical records by scanning and filing documents.
Assists in account reconciliations and expense reviews.
Performs other duties as assigned.
Description of Primary Attributes
Professional & Technical Knowledge:
Must possess a high school diploma or General Educational Development (GED) certificate.
Job duties require specific knowledge of bookkeeping processes and practices, typically learned on the job or which may include a series of training sessions that would comprise a few weeks if done consecutively.
Technical Skills:
Ability to prepare basic correspondence and simple reports in Microsoft Word.
Ability to use Microsoft Excel to create tables and simple displays of information.
Ability to create basic presentations in Microsoft PowerPoint.
Licenses & Certifications: None required.
Communications Skills:
Job duties require the employee to effectively communicate routine or non-technical information to co-workers and others.
Effectively communicates written information (including electronic correspondence) and verbal presentations.
